How Anima Khadgi is keeping her expertise focused on clients, not technology
Anima Khadgi already understood mortgage broking and the client process in detail. She knew which enquiries needed an immediate response, what information a client needed at each stage, and where personal judgement mattered.
The problem was not a lack of process knowledge. It was the time required to keep the technology around that process working. Website updates, email sorting, message routing, follow up tasks, and repeated administration were competing with the work only an experienced broker could do.
Anima did not want valuable client time spent fixing a website, checking whether an enquiry reached the right place, or rebuilding the same routine process by hand. She wanted the technology managed properly and the repeatable parts of her workflow automated around the way she already worked.
What Aiverse built
Aiverse built a managed technology layer around Anima’s existing mortgage process. The first part is ongoing website management. Content changes, enquiry forms, technical checks, security updates, and general upkeep are handled so the site remains current and dependable without becoming another job for Anima.
The second part is email routing. Incoming messages are placed into useful categories such as new lead, existing client, lender or document request, and time sensitive action. Routine messages can have an approved draft prepared, while urgent enquiries are moved forward for attention.
The third part is process automation. Approved steps can acknowledge an enquiry, request missing information, create a follow up task, and route the matter to the correct stage. This reduces repeated coordination without changing the professional process Anima has already established.
The automation does not provide lending advice or make lending decisions. Sensitive messages and anything requiring professional judgement stay with Anima. The system manages the repeatable work around her expertise, not the expertise itself.
How it works day to day
A website enquiry arrives with the information needed for a useful first response. The email workflow identifies what type of request it is, routes it to the right place, and prepares the next approved action. Anima can see the messages that need her attention without working through every routine notification first.
Aiverse monitors and maintains the technology behind the workflow. If the website needs an update, a form needs adjusting, or a routing rule needs refining, it is handled as part of the managed service. Anima does not have to stop client work to troubleshoot the system.
This gives the business a consistent process while keeping Anima in control of every important client and lending decision.
The operating target
The initial target is to return 6 hours of technology and administration work each week and bring the first response time for routine enquiries below 30 minutes during business hours. The workflow also aims to have 90 percent of new enquiries categorised and ready for action within 10 minutes.
These are operating targets, not completed results. They will be replaced with verified inbox and workflow data once the agreed measurement period is complete.
The practical outcome is technology that supports Anima’s mortgage expertise instead of competing with it. The website stays managed, email reaches the right place sooner, and more of her day remains available for client conversations, applications, and settlements.
